We collect personal information you voluntarily provide when interacting with us, including: full name, email address, phone number, general information about your tax or business situation, and the content of messages exchanged via the website chat or WhatsApp.

We do not request sensitive financial or tax documents (such as your TFN, full ABN or bank statements) at this initial stage. That information is collected directly by our accountants after the first contact.

3. How we collect your information

We collect your information through: the website chat (integrityadvisors.com.au), Integrity Advisors' business WhatsApp, and qualification forms sent during the initial intake process.

4. How we use your information

We use your information to understand your needs and direct you to the right accountant, to follow up by phone or email, and to improve the quality of our service.

We do not use your information for unsolicited marketing, nor do we share it with third parties for commercial purposes.

5. Use of artificial intelligence

First contact via the website and WhatsApp is handled by Integra, a digital assistant that is part of the Integrity Advisors team. Conversations are processed with the assistance of artificial intelligence language models.

In compliance with Australian Privacy Principle 8 (APP 8 — cross-border disclosure of personal information), we automatically remove personally identifiable information — name, phone number, email address, ABN, TFN — before any processing by external AI systems. Your actual personal data remains stored exclusively on servers located in Australia and never crosses international borders in identifiable form.

6. Storage and security

Your information is stored on servers located in Sydney, Australia (Amazon Web Services region ap-southeast-2 and Fly.io region syd), ensuring Australian data residency.

We implement technical and organisational measures to protect your data against unauthorised access, including multi-factor authentication (MFA) for administrative access and role-based access controls (RLS).

7. Disclosure to third parties

We may share your information with infrastructure and service providers engaged by Integrity Advisors, including data storage, platform hosting, qualification forms and transactional email services. These providers are contractually required to maintain the confidentiality of your data and to use it only for the purposes contracted. 8. Retention

We retain your information for as long as necessary to provide services and meet legal obligations. Conversations from contacts who did not become clients are retained for up to 12 months. You may request deletion at any time, subject to applicable legal retention requirements.

9. Your rights

You have the right to: access the personal information we hold about you, request correction of inaccurate or outdated information, and request deletion of your information, subject to legal retention obligations.

10. Updates to this policy

We may update this policy from time to time. The effective date at the top indicates the current version. Material changes will be communicated on the website.
